Hello! Thank you for your interest in our services. When we deliver or market Skillhive or Skillhive Next services to you or engage in partnerships to produce these services, we shall process your personal data.

We understand our responsibility and want you to be sure that we shall process your data carefully, appropriately and only for the purpose for which it was collected.

We shall process your data in accordance with the EU General Data Protection Regulation either as a Data Controller or as a Data Processor. The Skillhive service is mainly used by companies or organizations who determine the purposes, conditions and means of the processing personal data. In such cases, the company or organization using Skillhive shall act as a Data Contoller and Intunex as a Data Processor who processes data on behalf of the customer and according to the customer’s instructions. In other cases, Intunex acts as a Data Controller. In the Skillhive Next service, both the customer organization and Intunex act as Data Controllers.

The Data Contoller has a responsibility to inform you about the processing of your personal data. In this privacy policy, we shall describe as clearly as possible how your data is processed when we act as a Data Controller as defined in the General Data Protection Regulation.

Regardless of whether we are a controller or processor of your data, we shall process your data just as carefully.

WHOSE DATA DO WE PROCESS?
We process your data in accordance with this privacy policy if you are one of our:
- Skillhive or Skillhive Next service users and we define the purpose, conditions and means of data collection.
- Customer (private customer or representative of a customer organization)
- Potential customer
- Partner
- User of our website
Regardless of who you are, we shall process your personal data as carefully as our own.
WHY DO WE PROCESS YOUR DATA?
We process your data in order to produce the Skillhive and Skillhive Next services in accordance with the terms of use to implement agreements, for customer communication and maintenance of customer relationships as well as direct marketing. The exact purpose of the processing of data depends on which of the aforementioned groups you are part of.
- If you are a user of the Skillhive or Skillhive Next service or our customer (representative of a customer organization), we shall process your data in accordance with the agreements regarding the delivery of our services and their terms of use. This includes the communication, announcements and newsletters included in our services. The legal basis of the processing of data is the contract between us. The basis for processing also covers the processing of personal data prior to the signing of the contract, if you have made such a request. We may also use your data to market our services to you. You have the right to deny us at any time the right to use your data for marketing by contacting us through the contact information given above or by using the option to cancel marketing messages offered to you in direct marketing messages.
- If you are a potential customer, we shall process your data for marketing our services, including newsletters, advertisements and other direct contacts by phone, text message, e-mail or social media services such as LinkedIn and Twitter. The data of representatives of customer organizations shall only be used for communication and marketing directed at the organization. Such processing of data is based on our legitimate interest. However, if you are a private customer, we shall use your data for direct marketing only if you have consented to it, on the contact form of our website or when ordering a newsletter, for example.
- If you are our partner, we shall process your data for maintaining our partnership. The processing of data is based on our partnership agreement.
- If you are a visitor to our website, we shall collect data for analyzing our site, statistical monitoring and evaluation of the attractiveness of its content. The data allows us to improve the functionality of the website, design more useful and interesting content for you and to display advertisements to you based on your online behavior. All data is collected anonymously, and the actions at our site cannot be traced back to an individual person. You can block the displaying of advertisements based on your online behavior by removing and blocking cookies on your browser.
We shall not do profiling based on personal data or automatic decision-making based on the processing of personal data.
WHAT DATA DO WE PROCESS?
We shall only process personal data necessary for the purposes described above. Submitting personal data is a precondition for the formation and maintenance of a customer relationship. In other words, you cannot order our services without submitting your personal data.

If you are our customer or potential customer, we shall process your following personal data:
- Name
- Title or profession
- Company or organization / Employer
- Contact information
- Links to social media profiles
- Customer group
- Consents, denials and other submitted essential additional information related to the maintenance of a customer relationship
- Invoicing and bank contact information
- For companies and organizations, general information related to the company, such as the company’s or organization’s business ID and VAT registration information
If you are also a user of the Skillhive or Skillhive Next services, we shall process the following data in addition to the abovementioned:
- Occupational role
- Superior
- City
- Country
- General introduction (free text field)
- CV and other documents saved by the user
- Links to external web sites and social media profiles
- Working experience and work history
- Education and degrees
- Certificates
- Skills and skill levels
- Motivation/interest and its level
- Recommendations and other users’ evaluations and comments on your skills
- Pricing information you have provided for your own services
- Data last edited (log)
- Cookies for authenticating your access rights and digital user identifier
- Activities in the Service, such as joining groups in the Service (e.g. questions and projects), sign-ups for training or events published in the Service, creation of new groups, adding goals, files, links and to-do lists to groups, comment history and comments liked.
The use of the Skillhive and Skillhive Next services is based on voluntariness, and you can decide how much information about yourself you want to provide for the service. Refusing to provide information may decrease your chances of gaining the benefits you seek, such as interesting job offers or offer requests within the service.

We collect the following data about the use of our website:
- URL route on the site
- Time of the visit
- Browser type and version
- Device type
- Name and e-mail address of the person who ordered a newsletter through the web site
- IP address (stored on web server logs to allow us to identify and block dishonest or unauthorized access to our systems).
WHERE DO WE GET THE DATA?
We collect and receive your data from the following sources.
1. We mainly receive your data from you, for example when you register or use the Skillhive or Skillhive Next service or contact us through the contact form at our web site or some other form of personal interaction.
2. If you are a representative of a potential customer organization or a corporate decision-maker, we may collect your data from information that is publicly available online, at your company’s home pages, for example.
3. Information collected about the use of our website.
WHO ELSE WILL PROCESS YOUR DATA?
We utilize sub-contractors for obtaining IT systems required for processing data, such as the server environment.

The personal data stored in the Skillhive service is stored on servers located in the data center of Ficolo Oy in Finland. The maintenance and technical support of the server environment are handled by Mediamaisteri Oy.

For direct marketing targeting representatives or decision-makers of corporate and organizational customers, and for related data processing, we regularly use the following service providers:
1. Google Workspace (Chat, Meet, Docs, Sheets, Slides, Gmail)
2. MailerLite Limited (email marketing)
3. Vello Solutions Oy (calendar booking)
We may also submit your data to another service provider for the implementation of a targeted marketing campaign.

Third parties have no independent right to utilize data received from us for uses broader than the assignment. We ensure that all our service providers to whom we submit your data abide by data protection legislation.

We shall not pass your data on to third parties in ways other than those described in this privacy policy, unless you specifically request or authorize us to do so, or unless there is an exigent legal reason defined by law.

We shall never sell your data to anyone.
TRANSFERRING DATA OUTSIDE THE EU
The personal data stored in the Skillhive service is not transferred outside the EU/EEA area.

Regarding other services we use (Google Workspace, Vello, Mailerlite), we strive to choose secure data storage locations in Europe. Personal data in these services may be transferred outside the European Union and the European Economic Area if the European Commission has made a decision on the adequacy of data protection in those countries to which the data is transferred (so-called ‘adequacy decision’ in accordance with Article 45 of the General Data Protection Regulation). The transfer of personal data outside the EU and EEA can also be carried out using the Commission-approved standard contractual clauses (SCC).
FOR HOW LONG SHALL WE PROCESS YOUR DATA?
We shall process and store personal data only for as long as is required by law or for as long as is required for implementing the purposes detailed above.

We shall remove all unnecessary personal data from the register every six (6) months. You may request the removal of your data from the register through the link included in all our marketing messages or by sending us e-mail at: info@intunex.fi.

We may store or process data for the development of our operation or for statistical purposes, but in such cases, data shall be anonymized.
HOW DO WE PROTECT YOUR DATA?
We utilize the following protective measures to ensure information security.
1. We only process personal data using modern and secure data systems that take into account the most typical information security risks.
2. We limit access through passwords and personal user ID’s given only to authorized persons who need them for implementing the purposes described in this privacy policy.
3. We store your data on computer servers in computer rooms that are located inside locked and guarded premises with no unauthorized access.
4. We restrict connections to the servers through firewalls and encrypt all data traffic to the servers.
5. We regularly take backup copies of your data.

YOUR RIGHTS
You have the following rights, and requests for exercising them must be sent to the following address: info@intunex.fi
- The right to inspect what data about you has been stored in our register.
- The right to request the correction of your personal data.
- The right to demand the removal of your personal data.
- The right to transfer the data to another system, when the data has been provided by you and the processing of data is based on consent or an agreement.
- The right to deny direct marketing targeted at you or to limit the processing of the disputed data until the matter has been resolved.
- The right to oppose the processing of your personal data if you feel that we have processed your personal data unlawfully or that we do not have a right to process your personal data.
- The right to file a complaint about the processing of your personal data to supervising authorities.
If you are a user of the Skillhive or Skillhive Next service, you may check and correct the data you have provided yourself by logging in to said service. If a user has shared data with other users through the services’ messaging functions, by sending a private message to another user or by posting to a discussion forum or wiki page, for example, the data usually cannot be deleted.
