Swarm owners and members

Each swarm has at least one Primary Owner and may have additional Co-owners. The creator of a swarm automatically becomes the Primary Owner. Owners have extended management rights compared to regular members.

Owner Permissions

Owners can:

  • Edit swarm title, description, and details
  • Manage linked content
  • Edit goals and task lists
  • Define swarm visibility
  • Invite members (including to restricted swarms)
  • Download swarm reports

Owner vs Member

An owner does not need to be a member.

  • If the owner is also a member, they appear in member reports.
  • If they remove themselves as a member, ownership remains, but they are excluded from member lists and reports.

This is useful in HR-related swarms where only employees should appear in reports.

Managing Owners

Inviting an Owner

Owners can invite another user to become an owner:

  • Click Invite Experts
  • Select Invite as Owner

The invited user must accept the invitation.

Direct Owner Assignment (Admin)

Admins can assign owners directly from the owner management view.

  • No acceptance required
  • Admins may also transfer primary ownership

Swarm Members

Users who join a swarm are referred to as:

  • Members
  • Experts
  • Participants (in training swarms)

Members are listed in the swarm.

Joining and Inviting Members

Joining

  • Open swarms → free to join
  • Internal or Invite-only → invitation required

EXT users:

  • Cannot join restricted swarms without invitation
  • EXT+ users cannot join swarms as members

Inviting Members

If swarm is:

  • Open → any Regular User may invite
  • Restricted → only Owners or Admins may invite

Invitation process:

  • Click Invite Experts
  • Search user by name
  • Select Invite to Swarm

Invited users receive:

  • Email notification (if enabled)
  • In-app notification

Invitation List

Invited users appear in the invitation list until they accept.

After acceptance, they move to the member list.

Direct Member Addition (Admin)

Admins may add members directly using:

  • Add to Swarm

No notification is sent.

Revoking an Invitation

If the invited user has not joined:

  • Owners or Admins may revoke the invitation
  • Once revoked, the user can no longer join using that invitation
