What is skills mapping?

Skills mapping is the process of identifying, assessing and making visible the skills of an organisation’s staff. The result is a skills map: a measurable snapshot of what skills exist in the organisation, where the strengths are, and where there are critical skill gaps in relation to strategy.

Well-executed skills mapping answers three questions: what skills do we have now, what skills does our strategy require, and how do we close the gap between them. It is the foundation of skills management — without a current picture, development efforts are based on guesswork.

Skills mapping can be done as a one-off review or as a continuous practice. On a platform like Skillhive, the skills map stays up to date in everyday work, so the process does not have to start from scratch every year.

Skills and the will to develop in the same picture

In addition to skills, staff assess their interest in different skill areas. This helps find situations where the organisation's need and a person's desire to learn meet.

Development can then be directed both at needed skills and at people's own interests.

When does skills mapping help?

  • Strategy or work is changing. You need a shared view of what skills the new direction requires.
  • Development priorities are unclear. You want to know where training and other learning should be directed.
  • Skills data is scattered. Information sits in spreadsheets, earlier mappings and people's memories, but the overall picture is missing.
  • You want to start in a limited way. The first mapping can cover a single unit, role group or an important skill area.

How the mapping proceeds

  1. Agree the goal and scope

    We work out together which decisions you need skills data for and who takes part. Your goals and any existing competency model are used as a starting point.

  2. Build the competency model

    We help name the essential skill areas and build the assessment in Skillhive. Your key people bring the knowledge of the work and the strategy.

  3. Staff assess their skills and interests

    Participants complete the assessment online in Skillhive. A shared structure collects the data for review across the agreed group.

  4. Interpret the results and direct development

    We go through strengths, skill gaps and development priorities. You get the Skillhive views and a development plan to support leadership decisions.

You know your work. We help make the skills visible.

From you we need the goal definition, key people's input to the competency model, staff participation and a joint review of the results. We help structure the whole and carry the mapping through.

AI in the process – honestly

AI accelerates the naming of skill areas and the analysis of anonymised results. Individual assessments are always done by a person, and personal data stays within the EU/EEA in Skillhive. We do not use customer data to train models.

After the mapping: keeping skills data alive

After the mapping, skills data lives on in Skillhive — in the same skills management system that the whole organisation uses.

You can continue using Skillhive and update skills data as needs change. The mapping already done becomes the basis for the next round.

Optional continued use from €250/month + VAT, for up to 100 users. The scope and terms of continued use are agreed separately.

What is skills mapping?

How is skills mapping done?

Skills mapping proceeds in four phases: (1) define skill areas derived from strategy, (2) staff assess their skills in these areas, (3) results are compiled into a skills map that shows strengths and gaps, and (4) findings are turned into a development plan. The key is to involve staff from the start and connect skill areas to real work — not a generic list.

How long does skills mapping take?

A Skillhive skills mapping is typically completed in 2–4 weeks. We agree the schedule according to the scope of the mapping and the participants' availability.

What does skills mapping cost?

The skills mapping project is €6,000 + VAT. The price covers up to 100 participants and includes three months of Skillhive access; beyond that, €25 per person is charged. Continued use is optional, from €250/month + VAT.

What is the difference between skills mapping and a skills matrix?

Skills mapping is a process in which the required skills are defined, assessments are collected and the results are interpreted. A skills matrix is one way of presenting skills data, for example as relationships between people or roles and skill areas.

Which tool should you use for skills mapping?

A small team can get started with Excel or a survey tool, but in an organisation with tens or hundreds of people you need a platform that collects assessments, visualises results and keeps the data up to date. When choosing, emphasise speed of deployment, staff user experience and data privacy (EU data residency).

How do you get staff motivated for skills mapping?

Three things matter: lightness, relevance and personal benefit. The assessment must take less than an hour, skill areas must connect to real work, and everyone must get something from the mapping — visibility for their own skills and the ability to influence their own development. When skills become visible, it is also recognition for the person who has them.

How does AI relate to skills mapping?

What happens after skills mapping?

What is expected from staff?

Staff take part by assessing their own skills and interests. Before the assessment it is important to explain why the mapping is done and how the results will be used. Key people also take part in defining the competency model and the goals.

Can we start with one team or unit?

Yes. The mapping can be limited to a single unit, role group or strategically important skill area. In the first conversation we outline which scope would serve your goal.

Do we need a ready competency model?

A ready model is not needed. We help clarify the skill areas based on your goals. If you already have a competency model or earlier mappings, they can be used in the preparation.
